Office Hours Policy
Purpose
This policy establishes standard office hours and related operational expectations to ensure reliable access to campus services for students, employees and the public.
Scope
This policy applies to all UW Bothell units and offices except for offices that maintain different schedules due to operational, programmatic or service needs, including but not limited to the Campus Library, Campus Safety and Facilities Services.
Responsibilities
Unit leaders at the Chancellor’s Executive Team and Cabinet level are responsible for ensuring all offices within their respective units comply with this policy. They must also ensure that each office designates an individual responsible for updating offices hours, as needed, at the office’s main entrance and on its official website.
All managers and supervisors are responsible for ensuring that employees are aware of this policy and that there is adequate in-person staffing and coverage to maintain standard office hours.
Policy Statement
Standard Office Hours
UW Bothell offices will maintain in-person service and access hours of 9 a.m. – 4 p.m., Monday through Thursday, and 9 a.m. – 2 p.m. on Friday, excluding University holidays. These office hours do not necessarily align with building hours, which may extend longer to support classes, studying, and access to shared spaces.
The standard office hours represent the minimum hours during which offices are expected to provide in-person services and access; they do not necessarily coincide with individual employee work schedules. Full-time employees are expected to maintain a 40-hour work week. Some offices have established operating hours that differ from or extend these standard office hours to support operational, programmatic or service needs, including the Campus Library, Campus Safety and Facilities Services.
Summer Office Hours
During the summer, UW Bothell offices will maintain in-person service and access hours of 9 a.m. – 4 p.m., Monday through Thursday, excluding University holidays. Unit leaders may authorize their offices to operate remotely on Fridays, provided that operational, programmatic and service needs continue to be met. This summer schedule is effective from the Monday following spring quarter final examination week through the Friday before September 15.
This summer schedule does not apply to offices that maintain year-round standard operating hours to support essential campus operations, such as Campus Safety and Facilities Services. The Campus Library also maintains a separate summer schedule, with hours published on the Campus Library website.
Employees’ existing telework agreements will remain in effect throughout the summer period. Any requested modifications to telework arrangements must be reviewed and approved in accordance with established telework procedures. A revised telework agreement is not required for temporary adjustments of two weeks or less.
Winter Break Office Hours
During a designated period over winter break, announced during autumn quarter, UW Bothell offices will operate remotely and offer services from 9 a.m. – 4 p.m., Monday through Thursday, and 9 a.m. – 2 p.m. on Friday, excluding University holidays. Offices will generally not be required to provide in-person services during this period. Exceptions may apply to offices that support essential campus functions or have operational requirements that necessitate an on-campus presence, such as Campus Safety and Facilities Services. All employees in positions designated as essential will continue to report to work on campus during this period. Other employees may also be required to work on campus based on business or operational needs of their unit.
To conserve energy and resources during the winter break remote operations period, the buildings listed below will remain locked and operate in a reduced-energy mode, including minimal heating and adjusted lighting levels.
- Founders Hall (UW1)
- Commons Hall (UW2)
- Discovery Hall
- Innovation Hall
- Husky Hall
- Truly House
Operating hours are announced separately for facilities shared with Cascadia College, including the Campus Library and the Activities & Recreation Center.
Employees may continue to access campus buildings and offices as needed by using their Husky Card.
Posting Office Hours
All UW Bothell offices must prominently display current offices hours at their main office entrance and on their official website. Offices are responsible for keeping this information accurate and up to date and must promptly communicate any temporary closures, modified hours or changes in mode of service delivery through appropriate channels such as door signage, websites, voicemail messages and email notifications. Door signage does not need to be updated when a campuswide notification regarding a delayed opening/start or suspension of operations has been issued in accordance with the Procedures for Handling Campus Operations Disruptions.
