EERC classroom policy & procedure
Overview
The Environmental Education and Research Center (EERC) Classroom is owned by Washington State Parks and managed by the UW Bothell Collaborative for Socio-Ecological Engagement (CoSEE). The space is not part of UW Bothell campus facilities and follows different policies and procedures for use that are aligned with our agreement with Washington State Parks.


Classroom amenities
- Accessibility: While the classroom has ramp access and no stairs, it is not fully ADA accessible. The entrance doors do not have automatic openers, which may present a barrier for some visitors.
- Seating & Layout: Up to 42 chairs, moveable tables, flexible group-work configurations.
- Technology: Wall-mounted whiteboard, 4 rolling whiteboards, ceiling-mounted projector, large screen, desktop computer with internet, Wi-Fi access Wall-mounted whiteboard, 4 rolling whiteboards, ceiling-mounted projector, large screen, desktop computer with internet, Wi-Fi access (open to all devices). The classroom computer uses a public login which will be provided.
- Kitchenette: Full-size fridge/freezer, microwave, electric kettle, coffee maker, cups, sink, cooler, basic cleaning supplies. Guests must bring their own coffee grounds, tea, creamer, and any other desired supplies. We provide 9 reusable mugs that are available for use during your event.
- Other: First aid kit, emergency-use printer (please bring all print materials with you). Equipment stored in the classroom cabinets is not for public use and should not be accessed during your event. Please bring your own sticky pads, expo markers, and any additional office or teaching supplies, as we cannot guarantee availability of materials.
Location & hours
The classroom is located next to the Washington State Parks office within Saint Edward State Park. Signage for the EERC is posted outside the building, and photos of the exterior are available on our website to assist with wayfinding. Fall quarter building hours
Priority for reserving EERC classrooms is given to University of Washington Bothell classes and events sponsored by CoSEE. All other reservation requests will be considered based on availability and alignment with EERC’s mission.

Parking
Free Discover Passes are included with each reservation. Guests must return passes within 30 minutes after the event or will be invoiced $30 per unreturned pass. Guests may not use The Lodge’s valet services for EERC events. Full parking directions are included in the confirmation emails.
Reservations
All reservations must be submitted through 25Live, which holds the most up-to-date information about classroom availability. Availability is subject to staffing, and nothing is guaranteed until final confirmation is received. We do not respond to email inquiries about available dates. Please wait for your confirmation email. Hours may be adjusted quarterly based on staffing and will be reflected in 25Live.
A CoSEE staff member will be present for your event. If they need to step away at any point, they will leave contact information with your group. Please do not ask for early or later access—doors will be opened 30 minutes prior to your reservation start time to allow for set-up.
*Note: CoSEE retains the right to cancel any reservation at any time based on staffing availability.
Reservation blocks
- Half-Day: 9:00am – 12:00pm or 12:00pm – 5:00pm
- Full-Day: 9:00am – 5:00pm
- Arriving early or staying late outside the reservation window incurs a $100/hour additional fee.
Payment & invoicing
Once your reservation is confirmed, the reserving parties will initiate fund transfers to secure the room rental for the requested date(s).

Cancellations & changes
A Cancellation Fee will be assessed on a sliding scale:
- Event cancelled less than 4-weeks out: $50 fee
- Event cancelled less than 2-weeks out: 50% of estimated event costs or $50 fee (whichever is greater)
- Event cancelled less than 48-hours out: 100% of estimated event costs or $50 fee (whichever is greater)
A rush fee of $50 will be assessed for events requested less than 2 weeks out. A change fee of $50 will be incurred for any event changes made less than 48 hours from the event.
Cleanup expectations
Users are responsible for cleaning and resetting the room to its original condition:
- Remove and take away all boxes, food containers, and trash that does not fit in standard bins
- Wipe down all countertops and kitchen surfaces
- Return all tables and chairs to original layout
- Use caution when moving furniture or using any EERC equipment
