Device Checkout Information & Policies

The Office of Research provides technology based resources for UW Bothell students to use for research, scholarship and creative activity on a first come basis.

Students may check out the following equipment from the Undergraduate Research Desk in the Student Success Center, UW1-160.  Checkout is for the duration of one week to one month depending on the research project and equipment availability.  Renewals are based on availability.

Equipment Checkout Policies

The Office of Research equipment checkout policy is designed to ensure that the equipment is as broadly available as possible without limiting loan periods to such a short time period to render the loan ineffective.

  • Priority access is given to students conducting research, scholarship and creative activity.
  • Students may not checkout more than one iPad.
  • Equipment loan periods are one week or one month depending on the research project and equipment availability.
  • When you check something out, you assume personal financial liability for the item; don't give it to anyone else.
  • Use of computing resources is a privilege that depends on individuals using the resources appropriately and in accordance with University policies and local, state, and federal laws. These laws and policies cover such areas as illegal access to computer systems, networks, and files, copyright, and harassment issues.

Checking Out Equipment:

All equipment must be checked out in-person at the Undergraduate Research Desk during checkout hours. The desk is located in the Student Success Center in UW1-160. You cannot send someone else to check out equipment for you.

  •     8:00 am - 4:30 pm Tuesdays
  •     8:00 am - 4:30 pm Thursdays

Bring the following to your appointment:

  • A valid Husky Card, or a photo ID 
  • Student ID number
  • Email address 
  • Phone number 
  • Name of faculty/staff/student mentor
  • Short description of your research, scholarship or creative activity project.

Using the Equipment:

  • This website provides videos and information on how to use an iPad.
  • Do not update our provided apps by yourself.  Come into the Student Success Center during checkout hours to have your apps updated.
  • Be sensitive to the fact that some on-screen images, sounds, or messages create an atmosphere of intimidation or harassment for others.
  • You are responsible for any app you purchased. iPads will be cleaned and wiped and then our suite of apps will be reloaded on the iPads upon return.
  • Account management: you are responsible for installation, maintenance, data management and costs incurred for any non-UW Bothell accounts you use to purchase additional apps (i.e. dropbox, Skype etc.), content, or otherwise operate the device.
  • Please keep the Office of Research background picture on the iPad to let other students now where to check out iPads!
  • Consider creating an iCloud account to protect yourself from data loss. For more information

Before You Return the Equipment

  • Make sure to save any files you create on your own media, disk, or network drive. All files on the iPad may be deleted upon check-in.
  • Equipment bags often have little bits and pieces and other accessories (Power adaptor, cases, USB cables, etc.)  in them; be sure everything on the tag is still in the bag.  Check periodically.

Returning Equipment

  • You are responsible for returning all equipment by the due-date issued at the time of check out.  Equipment bags often have little bits and pieces and other accessories in them; be sure to return everything listed on the tag.  The iPad will not be checked in without all of the accessories it was checked out with. (Power adaptor, cases, USB cables, etc.) 
  • Late returns may be subject to fines.
  • Lost, damaged, broken, or stolen equipment will be subject to replacement and processing costs.
  • For items unreturned or returned damaged or in need of repair and not paid for a hold will be placed on the delinquent student’s account and they will not be able to register and/or acquire a transcript until the amount is paid or the equipment items returned.


  • You may request an equipment renewal in person and you must bring the equipment with you to be renewed.  The Office of Research must assess renewal requests based on current equipment inventory levels.  We may not always be able to renew the equipment to you.


Request for Additional Apps

  • Request for paid app: Please send an email to, subject "request for additional iPad app" and indicate why this app is important to you for your research, what it allows you to do that other apps don’t, and how it may be used by others also performing undergraduate research, scholarship and creative activity.  A list of these requests will be maintained and when funding becomes available additional applications will be purchased.
  • Updating applications: Don’t update by yourself.  Contact the Student Success Center (425-352-3427) and request to speak with the Undergraduate Research Desk
