The summer of 2024\u00a0saw\u00a0a transformation at\u00a0the University of Washington Bothell: the launch of a brand-new, centralized\u00a0approach to undergraduate advising. No longer\u00a0spread\u00a0around campus at individual colleges and schools, 26 advisors relocated to a\u00a0single unit\u00a0in Founders Hall.\u00a0<\/p>\n\n\n\n

Their\u00a0shared\u00a0mission:\u00a0a seamless, coordinated approach that serves all undergraduates. <\/p>\n\n\n\n

The\u00a0reorganization, which included\u00a0cross-training existing staff, onboarding new members and establishing shared policies and procedures, was accomplished in just 10 months.\u00a0A high-energy\u00a0team of five,\u00a0led by\u00a0Suzanne Yates, assistant dean for academic advising,\u00a0collaborated to build the new unit from scratch.\u00a0<\/p>\n\n\n\n

In recognition\u00a0of their efforts,\u00a0the entire\u00a0Undergraduate Advising Centralization Leadership Team \u2014 Yates, Claire Grand, Garick Sherburn, Nhi Tran and\u00a0Jessica Trenkamp\u00a0\u2014\u00a0has\u00a0received\u00a0the\u00a0University of Washington\u2019s 2026 Distinguished Staff Award\u00a0for Innovation<\/a>. This category honors excellence in a team that has created lasting change through implementing an innovative solution to a complex problem or driving a significant effort that enhanced\u00a0service and\/or efficiency.\u00a0<\/p>\n\n\n\n

A customized approach<\/strong> <\/h2>\n\n\n\n

\u201cThe work we did was always ultimately centered on the specific needs of\u00a0UW\u00a0Bothell students,\u201d said Yates. \u201cWe built something that we knew would work given our students\u2019 unique needs and challenges.\u201d\u00a0<\/p>\n\n\n\n

UW Bothell\u00a0has a higher-than-average\u00a0level of diversity among its 6,000 learners, she noted, including many first-generation students, older adults, neurodiverse learners\u00a0and people with\u00a0disabilities.\u00a0While creating the new advising model, Yates\u00a0and her team strived to keep these students top of mind, and to build in supports and flexibility.\u00a0<\/p>\n\n\n\n

\u201cThere\u2019s no one-size-fits-all solution,\u201d she said. <\/p>\n\n\n\n

The\u00a0initiative\u00a0faced initial resistance, generated\u00a0in part\u00a0by uncertainty, Yates said. \u201cThis was so big,\u00a0and it affected the livelihoods of 26 people.\u00a0It\u2019s\u00a0a huge change, and no one loves change,\u201d she said. \u201cFolks less experienced with this model were really worried whether it would be the right move for our students.\u201d\u00a0<\/p>\n\n\n\n

In designing\u00a0the\u00a0new approach,\u00a0the\u00a0centralization\u00a0leadership\u00a0team\u00a0kept student and advisor success at the heart of\u00a0its\u00a0work.\u00a0It\u00a0also\u00a0leaned into a host of resources: people at other universities, national organizations and national research\u00a0that supports\u00a0a\u00a0centralized model.\u00a0<\/p>\n\n\n\n

\u201cWe reached out to other universities in the Pacific Northwest similar to ours,\u201d Yates said. \u201cWe picked from the best examples we knew would work for us.\u201d <\/p>\n\n\n\n

In support of student success<\/strong> <\/h2>\n\n\n\n

Among its other benefits, the\u00a0new\u00a0approach\u00a0has\u00a0created a more consistent experience for students and streamlined the advising process, Yates\u00a0said.\u00a0<\/p>\n\n\n\n

Before July 2024,\u00a0first-year\u00a0students\u00a0who arrived at UW Bothell undecided about their direction would typically have one advisor as a pre-major, then switch to another when they declared a major. Now, those same students can potentially work with the same advisor\u00a0throughout their academic journey.\u00a0<\/p>\n\n\n\n

Feedback from\u00a0undergraduate students has been enthusiastic, Yates reported.\u00a0With all\u00a0advisors now located on the first floor of\u00a0Founders Hall, they are more accessible. And if one\u00a0advisor\u00a0happens to be unavailable, it\u2019s\u00a0easy\u00a0for a student\u00a0to find a backup resource.\u00a0\u201cEveryone knows where to go now,\u201d Yates said.\u00a0<\/p>\n\n\n\n

The numbers\u00a0bear\u00a0her out:\u00a0Since the\u00a0centralized advising structure launched on\u00a0July 1, 2024, the\u00a0combined advising\u00a0team has held\u00a0more than 11,500 appointments with UW Bothell students.\u00a0The\u00a0advisors have guided thousands\u00a0of students from orientation through the graduation processes.\u00a0<\/p>\n\n\n\n

\u201cThese numbers reflect more than efficiency\u00a0\u2014\u00a0they represent timely, personalized support that empowers students to thrive academically,\u201d said Cinnamon Hillyard, associate vice\u00a0chancellor\u00a0and dean\u00a0for student success. \u201cStudents are now ensured an equitable professional advising experience regardless of their degree program.\u201d\u00a0<\/p>\n\n\n\n

The advising team\u2019s\u00a0new\u00a0location\u00a0offers\u00a0advantages\u00a0beyond academic advising. Situated close to important resources such as\u00a0the\u00a0counseling and student success centers,\u00a0Yates said,\u00a0\u201cit\u2019s become a great source of referrals.\u201d <\/p>\n\n\n\n

A higher professional profile<\/strong> <\/h2>\n\n\n\n

Yates\u00a0emphasized\u00a0the newfound benefits for\u00a0advising\u00a0staff\u00a0as well \u2014 from centralized support and resources to\u00a0more robust opportunities for professional development.\u00a0<\/p>\n\n\n\n

Advisers also\u00a0experience\u00a0greater\u00a0knowledge\u00a0transfer and sharing, she said. In the old model,\u00a0with one advisor dedicated to a single program,\u00a0a lot of information lived in people\u2019s heads.\u00a0\u201cNow,\u00a0we have a historical record and can support students with these systems. We can piggyback off\u00a0each other\u2019s\u00a0strengths instead of being so disconnected.\u201d\u00a0<\/p>\n\n\n\n

And, as a cohesive unit,\u00a0advisors\u00a0have a\u00a0greater ability to advocate for students.\u00a0The team has more institutional heft,\u00a0Yates\u00a0said,\u00a0with the ability to analyze student data and bring it to the attention of campus leadership.\u00a0<\/p>\n\n\n\n

\u201cWe have some weight we can throw around,\u201d she said. <\/p>\n\n\n\n

Hillyard\u00a0also pointed out how centralized advising has strengthened partnerships with student-serving units\u00a0such as\u00a0Career Services, Orientation & Transition Programs and Undergraduate Research.\u00a0<\/p>\n\n\n\n

\u201cInstead of navigating multiple departmental advising units, these offices now have a single point of collaboration,\u201d she\u00a0noted.\u00a0<\/p>\n\n\n\n

A model for collaborative change<\/strong> <\/h2>\n\n\n\n

A year after the new model launched,\u00a0\u201cSkepticism has faded\u00a0as the positive impact on student success becomes clear,\u201d Hillyard\u00a0said. \u201cConfidence in the model has grown because the team listened, responded to\u00a0concerns\u00a0and created inclusive systems. Now, other groups seeking change look to this team as a powerful example of\u00a0transformation.\u201d\u00a0<\/p>\n\n\n\n

Those\u00a0groups include national organizations, where interest in the team\u2019s work has been keen.\u00a0UW Bothell team members have\u00a0presented to groups such as the National Association of Student Personnel Administrators. This\u00a0summer, they will address the American Association of State Colleges & Universities for\u00a0a\u00a0second time.\u00a0<\/p>\n\n\n\n

\u201cThis work\u00a0required\u00a0vision, resilience and collaboration at every level,\u201d Hillyard\u00a0said. \u201cBy laying this foundation, this leadership team has positioned UW Bothell\u00a0as a leader in\u00a0advising\u00a0excellence and student success.
