Updating UW Directory

Updating your UW Directory Information


Once you've started using Office 365 and are using your UW email account, you may find it difficult to find other UWB users in the address book within Outlook. To make your contact information easier for others to find, it is advised that you make a few changes to how your contact information is presented in the UW directory. If everyone makes the following changes, it will make for a smoother transition as far as address books go.

Please follow the steps below to allow others to search for you more easily.

Login to to start updating your personal information. Identity.UW is where you are able to change your directory information, such as your preferred name and your directory preferences. 


To update your preferred name, click on the edit button next to your name.


Click on the edit icon, located on the right side of the "Preferred Name" line


Enter your preferred name in the box. 


Enter your first name, middle name, and last name into the appropriate boxes. Once complete, click "Agree & Save Name".

After you click "Agree & Save Name", it will immediately start appearing in Outlook and the directory. 


Additionally with Identity.UW, you are able to update your preferences of what information appears in the directory. You may do this by scrolling down, making the appropriate and preferred changes and clicking "update".


Choose which information you would like made public by using the check boxes. Click "Update" when completed.


As you may notice, some of this information is managed by Workday, the University's employee management system. If you would like to update your legal name, phone number, email address, box number, and more, log into Workday.


To log into workday, follow


Once you are logged into workday, click on "Personal Information" to access all the information that is able to be edited. 


Click on the "Personal Information" Icon


Click on the information that you would like to change. (NOTE: You will need to enter a priviledged session, requiring Two-Factor Authentication. This can be set up on Identity.UW. More information on Two-Factor Authentication can be found at


Click which information you would like to edit.


To edit all of your information, with the exception of your legal name and business title, click on the "edit" icon. You are able to update your home contact information as well as your work contact information. Only work contact information changes will be shown in the UW Directory. 




You may remove an entry by clicking the "X" icon, edit the entry by clicking the "Pencil" icon, or you may add an additional antry by clicking the "Add" icon at the bottom of the section.

Once you have made any changes to your contact information, click the green "Submit" button that is persistent on the bottom. All changes are then reflected immediately. 


Modifying the fields listed below will make you easier to find in the UW directory: 


  1. Directory Name – Removal of the middle initial will make searching for your name easier in the UW Directory. If you go by a different name (such as a nickname), you can type that name here. For example, if your name is David J. Smith, but your colleagues know you by "Dave", you may want to type your name as Smith, Dave. Removing your middle initial and using the name you go by most often will greatly increase the ability to find you in the directory. 

  1. Department – The addition of "UW Bothell" in front of your department name will make searching for UW Bothell specific contacts easier. 

  1. Phone (In Work Contact Information) – Make sure this is your primary contact number as this is what will show in the UW Directory. 

  1. Email - Once you have successfully migrated to Office 365, be sure to verify your UW email address is correct in the “Primary Email” field. 


To search for UWB users who HAVE updated their UW Directory information: 

  •    Within a new email message, click either the "To..." button or the "Address Book" button. 
  •    Next to the word "Search:" you will see two options. Click the "More Columns" button. 
  •    Type the name of the person you are trying to send email to in the Search field. 
  •    If you expand the Address Book window, you will see a "Department" column. Once the person you are searching for has updated their UW Directory information, you will see the words "UW Bothell" before their department name. 
  •    Another option is clicking on "Advanced Find" and typing in the name of the person you're looking for and then in the "Department" field, type UW Bothell.
