Serving Alcohol at Student Events
Checklist for event with alcohol:
Please allow 3-4 weeks when planning an event with alcohol.
1) Fill
out the On-line Event Form
2) Fill
out UW Alcohol Authorization Form
3) Space
and media will be reserved by the Office of Student Life
4) Contact
caterer get quotes, ask if they have a licensed bartender
5) Reserve
licensed bartender for that night
6) Student Life
will request security for that night (security is required when alcohol is used)
7) E-mail Student Life with caterer and bartender information, so they can arrange payment.
8) Get
alcohol donated from department or local business – Red Hook, Columbia,
Pyramid, local restaurant
9) Pick-up
banquet permit from liquor store - $10
Guidelines for serving alcohol at an event
No Student Fees (SAF) may be used to purchase alcohol.

Alcohol is not to be possessed or consumed by anyone under the age of
21.Persons under 21 years of age may attend the function if there are
effective safeguards to prevent the consumption of alcoholic beverages
by minors. (Safeguards should be in the forms of entry control to admit
only invited members and guests and/or parental control, identification
of minors by the applicant/host organization, and supervision at the
service bar by the applicant/host organization). No alcohol shall be
served to anyone who appears to be intoxicated.Direct access to
alcoholic beverages shall be limited to designated server(s).
- Alcohol is to be consumed only within the designated area which has been approved for the event.
- Non‑alcoholic beverages must be available at the same place and as readily as alcoholic beverages.
- There shall be no form of "drinking contest" in either promotion for the event or in the event itself.
- Promotional
materials which reference the availability of alcoholic beverages shall
include a prominent notice that non‑alcoholic beverages are also
available.\
- Alcohol shall not be used as an inducement to participate in a campus event.
- Promotional materials shall not make reference to the amount of alcoholic beverages available.
- The
promotion or sale of alcoholic beverages on campus shall not be
primarily for the purpose of generating profits or fundraising;
- The
serving of alcoholic beverages on the campus or at UWB‑sponsored events
must be complementary to and part of the planned program.
- Program participants will not be allowed to bring their own alcoholic beverages.
- Purposes and circumstances connected with the proposed event will be reviewed before approving the request.
- Guidelines and procedures shall apply to both University and non‑University organizations and individuals.
- The
person applying for the banquet permit assumes full responsibility to
see that no minor is supplied with alcoholic beverages or allowed to
consume alcoholic beverages at the event.
- The banquet permit must be posted during the event in a conspicuous place within the designated area approved for the event.
- The
general public shall be excluded. No advance sale of tickets to the
public shall be made and no advertising shall be directed to the
general public.
