What to do on Email Migration Day

Any email sent to both your @uw.edu email address and your @uwb.edu address (if you have one) will arrive in your Office 365 Exchange Online inbox. To get your UW email address provisioned with Office 365, please visit our informational page here.

Please follow the steps below once your email has been migrated:

1.  Login to your computer with your UWB credentials (UWB Access Account), per usual.

2.  If you have Outlook open, you may see an error message that asks you to close Outlook. Please click “OK” and close Outlook. If you do not have Outlook open, please do not open Outlook just yet.

3. To start using your new Exchange Online account in Outlook on your deskptop/laptop (not through the web):

   PC users:

  • Make sure Outlook is closed
  • Create a new profile by following the instructions linked below:

PC (Windows) - Adding A New Profile (Outlook 2010/2013)

  • After creating your new profile, reopen Outlook, login with your full UW email address and password (the password is the same as your NetID password). You may select "remember my credentials" if you do not want to enter your credentials each time you open Outlook. Your inbox will be empty when it first opens. This is normal. Outlook will need a few minutes to populate your inbox with your email.
  • Add any needed resource mailboxes by following these instructions:

Not sure what your new resource mailbox is or who to contact for the password?

  • Reconfigure any shared calendars of users also using Exchange Online (users who have migrated as well):

  • Your archived emails will not show automatically. Reconnect any archived emails by following these instructions:

   Mac OSX users:

  • You will need to close Outlook (or if it is not open, do not open Outlook)
  • Create a new account by following these instructions:

  • Reopen Outlook and allow a few minutes for your inbox to populate with your mail.
  • Add any needed resource mailboxes by following these instructions:

4. Setup your UW email on your mobile devices. Please remember to then remove your UWB email from all mobile devices.

Android Mobile Devices

iOS Mobile Devices

Windows Mobile Devices

Blackberry Devices

5. You are now able to use the new Rooms Resource Feature to book a conference room or view your department's vacation/leave calendar. You can find general information on the what the new Rooms Resource is and how to use the new Rooms Resource on our website. Please note that the Public Folder calendars are now "read only". No new appointments can be made through Public Folders. All new appointments must be made through the new Rooms Resource calendars.

6. If you would like to update your UW Directory information (so that you are easier to find), please read our updating UW Directory info documentation

7. If you would like to change your UW NetID, please read our changing your NetID documentation.

8. View your email through the web by visiting outlook.com/uw.edu and logging in with your UW NetID credentials.

9. If you have email in your previous UW inbox (such as UW Deskmail and UW Google), you are able to manually transfer your email from your old inbox to your new Exchange Online inbox.

NOTE: If you would like to instantly access your new email mailbox, you may do so by logging on to www.outlook.com/uw.edu with your UW NetID credentials. This is the fastest way to view your new email.

 

For Google Apps  and Webpine users:

‚ÄčEmail for all faculty and staff, including users of UW Google Apps and Webpine, will now be sent through Office 365. However, we are NOT able to automatically copy old email over from Google Apps or Webpine into the new system. We are happy to work with you to manually copy email and calendar items into the new system. Just contact the helpdesk to let us know. 

Although we won't be using it for email and calendaring, Google Apps will continue to be available through UW and everyone should feel free to continue using Google Docs, Drive, Sites, Hangouts, etc.
