Contacts
Think of the contacts list as your address list. By setting up a contact in the list, you can avoid typing long email addresses when sending mail. Just type part of the name, and Outlook will fill in the email address for you.
Starting a Contacts List
Click on Contacts in either folder list or task bar
From the menu bar, select File, New, Contact
If all you want to do is list people's email addresses so you can use aliases to write to them, there are only three fields you need to fill in:
- Full name
- File as... (how you want it to appear in a list, how you want it alphabetized)
- Email address (the entire internet address)
Sending mail to someone on your Contacts List
Click on new on the task bar to start a new mail message.
There are two ways to use the contacts list to send a message
- Letting Outlook find the name. In the To field type the first name of the person you want to send the message to. For example, to send a message to Bob Bothell type Bob. Then press tab to move on to the next field. Exchange will search your contacts list to find an entry that begins with Bob, then fill it in. You might see a moment of delay while it searches.
- Finding the name yourself. Click on the To button. Click on the little arrow to the right of the Show names from the field. Select Contacts from the list. Either type the first part of the name in the Type Name field, or select a name from the list. Once you have highlighted the name, click on To-> to move that name into the message recipients box. Then click OK.
